Maps for Sage CRM – Licence and Subscription Terms

About these terms

These terms govern the supply and use of Maps for Sage CRM by Mulsanne Systems Ltd (“we”, “us” or “our”). “You” means the organisation identified in the order and licence. Maps for Sage CRM is supplied for business use, not for personal consumer use.

By accepting these terms at checkout, or expressly agreeing to them in a written order, you confirm that you are authorised to enter into this agreement on behalf of the licensed organisation. Any expressly agreed written variation takes precedence over these terms.

Version 1.0 — 7 October 2026. Keep a copy of the terms accepted with your order.

Your licence

Subject to payment and an active subscription, we grant your organisation a non-exclusive, non-transferable licence to use Maps for Sage CRM for its internal business purposes.

Unless your order expressly states otherwise, each subscription covers one production Sage CRM installation and one non-production test or development installation used solely for the same licensed organisation. There is no separate charge per CRM user under this licence.

Additional production installations, use by other legal entities, and use to provide a hosted or managed mapping service to third parties require our prior written agreement. An implementation partner may install and administer the product for you, but may not reuse your licence for another customer.

You may retain backup copies. A replacement server does not require a second subscription if the old production installation is retired; contact us if a replacement licence key is required.

Permitted use and ownership

We and our licensors retain ownership of the software and its intellectual property. Your subscription grants a right to use the product; it does not transfer ownership or provide an entitlement to source code.

You must not resell, sublicense or distribute the product or licence key, remove ownership notices, bypass licence controls, or reverse engineer the product except where the law permits this despite a contractual restriction.

You remain responsible for authorised users and contractors using the product on your behalf and for keeping your licence key secure.

Subscription period and charges

Subscriptions are payable annually in advance. The current standard price is £850 per year, excluding VAT, unless a different price is stated in your accepted order. VAT and any other applicable taxes are charged as shown at checkout or on the invoice.

The subscription begins on the start date confirmed with your licence and runs for 12 months. Your order confirmation and licence details identify the relevant dates.

A paid subscription includes access to the product, compatibility updates, new feature releases made generally available during the subscription period, and support for product bugs and issues within the support scope below.

Renewal and cancellation

Where checkout expressly identifies a recurring subscription, you authorise annual renewal charges using your selected payment method until you cancel. Where automatic billing has not been agreed, renewal requires payment of a renewal invoice or order.

You may cancel future renewal through any cancellation facility supplied with your subscription or by contacting us through our website. Cancellation must be received before the renewal payment is taken. Cancellation of renewal does not end the current paid period.

We will notify you at least 30 days before renewal of any increase in the subscription price. You may cancel renewal before the new price takes effect. An increase does not change the price of your current paid period.

If renewal payment fails, you should update your payment details or contact us promptly. A failed or pending payment does not extend the expiry date of the licence. We issue the renewed licence following successful renewal payment.

Licence expiry

Maps for Sage CRM requires a valid, unexpired licence. When your licence expires, normal mapping use and licence-dependent background processing cease until a valid replacement licence is entered.

Expiry does not itself delete your CRM records or stored mapping information. You remain responsible for backups and retention. Access to new releases and included support ends when the subscription expires.

Delivery and customer responsibilities

Following receipt of successful payment, we will email a download link and licence key within one working day. Working days are Monday to Friday, excluding public holidays in England. Please provide an accurate organisation name and contact email when ordering.

Unless you purchase installation assistance or agree otherwise in writing, you are responsible for installation and configuration. You must meet the published system requirements, maintain appropriate backups and ensure that changes are tested before use in production.

You are responsible for your Sage CRM, database, server, network, access permissions and the accuracy and lawful use of the data you process. We do not supply a Sage CRM licence as part of this product.

Compatibility and refunds

Maps for Sage CRM supports the latest annual Sage CRM version and the three preceding annual versions, including their R releases, subject to the published system requirements.

Older Sage CRM versions may also be compatible, but compatibility is not guaranteed. If the product does not work with an older Sage CRM version, we will refund the subscription payment for that installation. Charges for professional services already delivered, including installation, configuration or troubleshooting, are not refundable solely because that older version proves incompatible.

Please report compatibility problems promptly and provide reasonable information and access needed to investigate. If a material product fault within the supported requirements cannot be remedied within a reasonable period, you may terminate the affected subscription and receive a proportionate refund for its unused period.

Other than the refunds described above, payments are not refundable merely because you stop using the product or cancel renewal. This does not restrict any right or remedy that cannot lawfully be restricted.

Google Maps and other third-party services

Google Maps Platform services are supplied by Google under its own terms. You are responsible for maintaining an appropriate organisation-controlled Google Cloud project, API keys and billing account unless another arrangement is expressly agreed.

Maps for Sage CRM includes Google Maps features and content. Use of those features and content is subject to the applicable Google Maps End User Additional Terms of Service. Google’s collection and use of information is described in the Google Privacy Policy.

Google Maps usage charges are separate from your Maps for Sage CRM subscription and are payable directly to Google. You are responsible for reviewing usage, quotas, billing alerts and any charges generated by map display, place searches and geocoding.

Availability, pricing and behaviour of third-party services may change. We do not guarantee their uninterrupted availability. Map and geocoding results may be incomplete or inaccurate and should be checked where precision matters.

Support and updates

Included support covers investigation of reproducible bugs and issues in Maps for Sage CRM used within the published requirements. It does not include general Sage CRM administration, unrelated software or infrastructure faults, address-data cleanup, training, bespoke development or ongoing configuration services unless separately agreed.

Contact us through the Maps for Sage CRM support page or the contact details supplied with your order. Please provide the product and CRM versions, reproduction steps, relevant error messages and suitably redacted screenshots. Do not send passwords, API keys or licence keys in ordinary support correspondence.

We will use reasonable efforts to investigate reported issues and provide an appropriate fix or workaround. No guaranteed response or resolution time, continuous monitoring or out-of-hours service is included unless expressly agreed in writing.

Updates are supplied during an active subscription. You are responsible for reviewing release notes, taking backups and installing updates. Feature requests may be considered, but submission does not commit us to a delivery date or implementation.

Optional installation and setup assistance

The standard Installation & Setup Assistance package costs £500 excluding VAT unless otherwise stated in your accepted order. It covers installation of the application and associated CRM customisations, Google Maps API configuration, colours and pins, product settings and security configuration for the licensed installation.

You must provide appropriate administrator access, an authorised contact, a suitable environment, Google account access where needed and current backups. You remain responsible for third-party account ownership and charges.

The package does not include bespoke development, extensive data remediation, unrelated infrastructure repairs or continuing consultancy. We will agree any additional chargeable work with you before carrying it out.

We will arrange a mutually convenient appointment after purchase. If you cancel before work begins, we will refund the installation fee. If work has begun, any refund will exclude the reasonable value of work already delivered. We will perform agreed services with reasonable care and skill.

Data and confidentiality

CRM records, saved mapping information and application configuration are held in your environment. Address lookups send the configured postal address information to Google’s geocoding service. Place and address searches send the search text and relevant map-location information to Google. Displaying maps also connects users’ browsers to Google services, which receive connection information such as IP addresses and browser details. Google handles information received by its services in accordance with its Privacy Policy.

The supplied product validates its signed licence key locally. Mulsanne Systems does not receive routine copies of your CRM database through normal use of the application. Information you choose to provide for installation or support is handled separately as described below.

You are responsible for deciding which records and addresses may be processed and ensuring that your organisation has an appropriate basis for using the relevant third-party services.

We will treat non-public information provided for support or installation as confidential and use it only to provide the agreed services or meet legal obligations. Remote access will require your authorisation. Do not provide production data where a redacted example will suffice.

Our website Privacy Policy explains how we handle customer, enquiry and billing information. If a support engagement requires us to process personal data on your behalf, the necessary data-processing arrangements must be agreed before that processing begins.

Warranty and liability

We will use reasonable care and skill in supplying the product and agreed services. We do not guarantee uninterrupted or error-free operation, compatibility with every customisation, or the accuracy of third-party map and geocoding data.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

Subject to the preceding paragraph and to the extent permitted by law, our total aggregate liability arising from this agreement is limited to the subscription and service fees paid or payable under it in the 12 months preceding the event giving rise to the claim.

Subject to the same qualifications, we are not liable for indirect or consequential loss, loss of profit or business opportunity. You must maintain appropriate backups and take reasonable steps to reduce any loss. These provisions do not override liabilities or remedies that the law requires.

Suspension and termination

We may suspend or terminate the licence for non-payment or a material breach of these terms. Where a breach can be remedied, we will normally give written notice and at least 14 days to remedy it before termination. Immediate suspension may be necessary to address unlawful use or a serious security risk.

If we materially breach this agreement and fail to remedy a remediable breach within 30 days of your written notice, you may terminate and receive a proportionate refund for the unused subscription period.

On termination or expiry, your right to use the product ends. You may retain backups and your own data, but must not continue using the software without an active licence.

Changes and governing law

The version accepted with your order applies to that paid subscription period. Material changes proposed for a renewal will be communicated in advance so that you can decide whether to renew. Publication of revised terms alone does not retrospectively change an existing paid agreement.

Neither party is responsible for delays caused by events beyond its reasonable control. We will notify you of a material interruption and take reasonable steps to reduce its effects.

These terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction over disputes arising from this agreement.
